Using the Travel Expense Calculator
Downloading this free template is a snap! Just click the link at the bottom of this page to begin the downloading process.
Once you have the document at hand, you can start editing the template to fit your exact needs. Start in the “Travel Expense” tab at the bottom of the page. This is simply where you can enter all your travel information and costs. If you’re someone that travels by plane frequently, list that as your description and “Transportation” as the category. You’ll then list the quantity if you have to make multiple trips and the unit cost for the calculator to create your actual total.
You can even list foods and other miscellaneous fees that are associated with your travel as well. When everything has been entered, you will see the final total in the bottom right-hand corner of the page.
When you’re ready, click the “Travel Expense Summary” tab at the bottom of the page, this is where the magic truly happens.
In this section, you will receive a breakdown of all the different categories by color and the template will automatically show you how much of the entire trip expense each one cost by percentage. If you want, you can even enter a budget at the top of this tab before your trip so you’ll gradually try to stay below that figure and the template will show you the difference between your budget and the actual amount spent.
